Plation Bureau de Change Limited ("Plation", "we", "us" or "our") respects your privacy. This policy explains what personal information we collect, how we use and protect it, how long we keep it, and the rights you have.

1. Who we are

Plation Bureau de Change Limited operates a bureau de change at Shop No. 3, SAM Building, Luapula Road, Kamwala Trading Area, Lusaka, Zambia. We are the data controller for the personal information described here. For any question about your personal information, email operations@plationbdc.com.

2. What this policy covers

This policy applies to this website and to our branch. It covers the personal information we handle when you contact us or exchange currency with us.

3. Information we collect

• Identification information we are required to collect to verify your identity, such as your full name, date of birth, nationality, residential address, and the details and a copy of your identity document (for example your international passport).
• Transaction information, such as the currency, amount, exchange rate, date and reference for each exchange you make with us.
• Contact information you give us, such as your name, email address and the content of your message when you send an enquiry.
• Website information. This website does not use analytics tools, and we do not track visitors. Any cookies are limited to those needed for the site to load and display correctly, not to identify or profile you.

4. How we use your information

We use personal information to:

• provide foreign exchange services and carry out your transactions;
• verify your identity and carry out customer due diligence ("Know Your Customer");
• meet our legal and regulatory obligations, including those of the Bank of Zambia and Zambia's anti-money-laundering framework;
• detect, prevent and investigate fraud, money laundering and other unlawful activity;
• keep accurate records as the law requires; and
• respond to your enquiries and provide customer service.

5. Our legal basis for using your information

Under the Data Protection Act No. 3 of 2021 of Zambia, we rely on:

• compliance with a legal obligation, for identity verification, record-keeping and reporting;
• performance of a contract, to provide the exchange you ask for;
• our legitimate interests, to run and protect our business, balanced against your rights; and
• your consent, where we ask for it, for example to answer a website enquiry. You can withdraw consent at any time, without affecting processing already carried out.

6. When we share your information

We do not sell your personal information. We share it only where necessary:

• with the Bank of Zambia, the Financial Intelligence Centre and other authorities, where the law requires or permits;
• with service providers who support our business, such as IT, website hosting and record-keeping providers, under written confidentiality and data-protection terms; and
• where required by a court order, law or regulation.

7. Transfers outside Zambia

We hold your personal information in Zambia. If we ever need to transfer it outside Zambia, for example to a service provider, we will do so only with appropriate safeguards and in line with the Data Protection Act.

8. How long we keep your information

We keep personal information only for as long as we need it to provide our services and to meet our legal obligations. Anti-money-laundering and financial records are kept for the minimum period set by Zambian law, counted from the date of the transaction or the end of our relationship with you. After that, we securely delete or anonymise the information.

9. How we protect your information

We use reasonable organisational and technical measures to protect personal information against loss, misuse and unauthorised access. This includes limiting access to staff who need it and keeping identity documents and records secure. No system is completely secure, but we work to protect the information in our care.

10. Your rights

Subject to Zambian law, you have the right to:

• ask what personal information we hold about you and request a copy;
• ask us to correct information that is inaccurate or incomplete;
• ask us to delete information, or to restrict or object to how we use it;
• withdraw consent where we rely on it; and
• lodge a complaint with the Office of the Data Protection Commissioner of Zambia.

Some of these rights are limited where the law requires us to keep information, for example anti-money-laundering records. To make a request, email operations@plationbdc.com. We may need to verify your identity before we act on your request.

11. Cookies and this website

This website does not use analytics or tracking cookies. Any cookies are limited to those required for the site to function and to help it load and display correctly. We do not use cookies to identify or profile you. If this changes, we will update this policy.

12. Children

Our services are intended for adults. We do not knowingly provide services to, or collect information from, anyone below the age at which they can transact under Zambian law.

13. Changes to this policy

We may update this policy from time to time. We will post the current version on this page with the date it takes effect.
